Zoom Video Call and Keap / Infusionsoft integration. Three possible ways.

zoom infusionsoft integrationAs of writing (16 April 2020) we are in the middle of the Coronavirus pandemic. As a result, many more businesses are now using Zoom for the first time and therefore once the pandemic passes so more businesses will be using Zoom as part of their “sales and marketing” system. So then this gives rise to the question. How can Zoom and Keap / Infusionsoft be integrated?

Method 1. The Zoom Keap / Infusionsoft integration method I use for my consulting business and is a deep integration between four great systems. I use SheduleOnce (Oncehub) to automate the scheduling of my calls. SheduleOnce is integrated with my calendar (I use Google Calendar), Keap / Infusionsoft and Zoom. So how does this work. So a prospect books a call via a ScheduleOnce booking form on my site, via my calendar ScheduleOnce only lets prospects book a call at times of my choosing WHEN I have availability. As they book I capture contact details and ask profiling questions, this is used to kick off Keap / Infusionsoft automation. As soon a ScheduleOnce confirms the booking it pushes the appointment with the Zoom link into my calendar. It then automatically emails the prospect with the Zoom meeting link and gives them the option to push the appointment with Zoom link into their calendar. Then in the run up to the meeting ScheduleOnce sends reminder emails and texts, so No Shows are never a problem. In the reminders, there is a link to cancel or reschedule, and when they do, ScheduleOnce updates my calendar and my meeting list in Zoom. Sounds complex to set up? Well, it does take a bit of getting your head around, but once set up it just works.

Method 2. This second Zoom Keap / Infusionsoft Integration uses Zapier or another “connector app”. You can trigger Keap / Infusionsoft automation when a Zoom meeting or webinar registration occurs. This may be an option for you, but from my experience, the level of integration is not that deep and so there is limited functionality.

Method 3. This final Zoom Keap / Infusionsoft integration is the most manual method. Every time you book a Zoom call with a prospect or customer you fill in an Keap / Infusionsoft / Keap form. This could be a web form or internal form (smart form). In addition to contact details, you capture the call time and the zoom meeting link. Then upon form submission, you can trigger automation i.e. reminder emails and texts (via a third party sender). However, this method has some serious drawbacks you must consider. Firstly, this is very manual and takes time and so prone to human errors. Secondly, the timing of Keap / Infusionsoft campaign builder depends on how busy the server is. So if you plan to send emails/ texts 10 minutes prior to a meeting then be aware it may go out after the meeting has started. And when people cancel /reschedule meetings, you must manually accommodate these and build out your campaigns with an extra layer of functionality to accommodate these scenarious. Also be aware if you are taking bookings from timezones other than your own, I would not be confident that the campaign builder would deliver time-sensitive emails at the correct time in this scenario.

So my conclusion would be to use Scheduleonce from my first option. I have used it for at least 4 years now and never had an issue and could not imagine doing my consulting without it. It saves me so much time and just works. It is super-advanced with features that even I have not had call to use yet such as group meetings, physical meetings and  pre paid for Zoom calls.
