For the past two years I have been using TimeTrade to enable prospects and clients to schedule calls and meetings with me.
I was very happy with it. A few niggles but for the low cost of the system – a TimeTrade subscription and a Timefusion app subscription I was set.
About two weeks ago I was approached by Roy at ScheduleOnce to give ScheduleOnce and Keap / Infusionsoft a try. As I am always looking to find ways to save time and make life easier I was intrigued to give it a go.
So how has it gone? I must say I have been really impressed. ScheduleOnce is a step up from TimeTrade and provides advanced functionality. For example all the email reminders, text reminders (optional), rescheduling and cancelling are taken care of by ScheduleOnce. A couple of bug bears I had with TimeTrade – the meeting time was captured in an Keap / Infusionsoft custom text field. This was only an issue for overseas bookings and so reminder emails had to have the time qualified eg Looking forward to our meeting at 1pm (GMT). Different time zones were difficult to accommodate. Also you would have to build intricate campaigns to handle cancellations and rescheduling.

What is great about ScheduleOnce is the way that when a client books a meeting then it goes straight into their calendar – no having to click images to add and save to your calendar – it just happens. Rescheduling and cancelling are super easy for the prospect / client and yourself
There is an optional ScheduleOnce and Keap / Infusionsoft integration which makes it super easy to map to custom fields and add tags at the required stages of the process. So you get the full power of integrating the two systems.
If you use GoToMeeting there is an integration for that to automate the scheduling of GoToMeeting calls.
ScheduleOnce is a great system and within an hour you can be up and running with an enterprise level call and meeting booking and management system. Having now experienced this level of call and meeting scheduling I would be hard pushed to move to another system.

Scheduling with your Keap / Infusionsoft contact base
When you ask your existing Keap / Infusionsoft Contacts to make bookings, ScheduleOnce identifies a contact by their record ID, eliminating the need to ask for information you already have. This enables a better customer experience and improved conversion rates.
Scheduling with prospects
When you ask any customer or prospect to make a booking, ScheduleOnce uses their email address to check if the contact exists in Keap / Infusionsoft. The contact is then automatically created or updated based on your record creation rules.
Automatic record creation
When a booking is made and the customer doesn’t exist in Keap / Infusionsoft, a contact record is automatically created with all information provided by the customer.
Automatic record updating
When a booking is made and the customer already exists in Keap / Infusionsoft, the contact record is updated based on your record update rules.
Automatic appointment creation
Every ScheduleOnce booking creates an appointment in Keap / Infusionsoft and adds it to the Keap / Infusionsoft Calendar. The appointment is automatically related to the relevant Contact record.
Automatic appointment updates
The appointment is automatically updated with any changes taking place throughout the booking lifecycle, including when the booking is canceled, rescheduled, completed, or set to no-show.
Keap / Infusionsoft tags
Automatically add Keap / Infusionsoft tags to different phases of the booking lifecycle. For example, you can apply a follow-up tag to every booking that is canceled by the customer, or a thank you tag to every booking in completed status.
ScheduleOnce lifecycle tags
ScheduleOnce lifecycle tags are automatically created and continuously updated throughout the booking lifecycle. Lifecycle tags allow you to satisfy campaign goals, run manual campaigns, and create targeted email broadcasts using historical data.
Field mapping
When a booking is made, ScheduleOnce system and custom fields can be automatically mapped to any Keap / Infusionsoft system or custom field.
Record assignment
When a booking is made, contact records can be automatically assigned to the booking page owner or maintain their existing ownership.
Automatic classification
When a booking is made, the contact and appointment are automatically classified and prioritized in Keap / Infusionsoft.
Lead sources
When a booking is made via ScheduleOnce, web lead sources are automatically assigned to every booking contact.
Integrated links
The link to the Keap / Infusionsoft Contact record is available in all ScheduleOnce activities and notifications, enabling a seamless connection between the two systems.
Web tracking
The Keap / Infusionsoft tracking code helps you optimize your booking forms by capturing visitor activity and making it available for analysis in Keap / Infusionsoft.
